Who we are

The data controller is Angela Jarvis trading as Graphic Details (“we”, “us”). Contact: hello@graphicdetails.co.uk. Business location: Selby, North Yorkshire, United Kingdom.

What we collect

When you enquire: name, email, project notes and any details you choose to send. Server logs may include IP address for security and rate limiting.

Payments (Stripe)

After a written quote, deposits and balances are usually taken via Stripe Payment Links or invoices. Card numbers are entered on Stripe’s secure pages. We do not store full card numbers on Graphic Details systems. Stripe is a payment processor with its own privacy notice. We only receive payment confirmation details needed for your project (e.g. amount paid, email, quote reference). Never send card numbers by email.

Why we use it (lawful bases)

  • Contract / steps before a contract — to reply, quote, deliver work and manage your project.
  • Legitimate interests — to run and secure the site (including logs and rate limiting), and to keep basic business records.
  • Consent — optional marketing emails only if you ask us to send them (you can withdraw anytime).
  • Legal obligation — where tax or other law requires us to keep records.

How long we keep it

  • Enquiries that do not become a project — usually up to 24 months after last contact.
  • Contracts, invoices and tax records — typically up to 6 years (or as our accountant advises).
  • Server logs — kept only as long as needed for security, then deleted or anonymised.

You can ask us to delete personal data sooner where we have no legal need to keep it.

Sharing

We do not sell your data. We use processors such as email (e.g. Resend), payment (Stripe) and hosting providers under their terms. They only process what is needed to provide the service. Some providers may process data outside the UK; where they do, they use approved transfer tools (such as standard contractual clauses) where required.

Your rights

You can request access, correction, deletion, restriction or portability where applicable, and complain to the ICO (ico.org.uk). Email us to exercise rights.
